Beyond the Terminal — Event Terms and Conditions

Applies to: all events run or co-hosted by Beyond the Terminal Pty Ltd, including The Route Table events, sponsored events, coffee catchups and pub meetups.

Entity: Beyond the Terminal Pty Ltd (ABN 586 894 603 57) ("we", "us", "BTT")
Contact: theroutetable@beyondtheterminal.tech
Version: 1.0 — 19/09/2026

1. Agreement to these terms

By registering for, attending, or participating in any BTT event, you agree to these terms. If you are registering on behalf of someone else, you are responsible for making sure they have read and agree to them.

If you do not agree, do not register or attend.

2. Definitions

  • Event — any gathering organised, co-organised, hosted or promoted by BTT, whether free or paid, formal or informal.
  • Venue — the premises where an Event is held, operated by a third party unless stated otherwise.
  • Sponsor — any organisation providing funding, venue, catering, speakers or materials for an Event.
  • Attendee — any person who registers for or attends an Event, including guests, speakers and Sponsor representatives.

3. Registration and tickets

  1. Registration is handled through our nominated ticketing platform. Your registration is confirmed only when you receive a confirmation from that platform.
  2. Places are limited and allocated on a first-come basis. We may cap numbers, operate a waitlist, or decline a registration at our discretion.
  3. Tickets are personal to you and may not be resold. If you want to pass your place to a colleague, ask us first — we will usually arrange it, but transfers need to go through us so the guest list stays accurate. We may require ID matching the registration name at entry.
  4. We may require registrations to use a real name and, for some Events, an employer or role. Registrations we reasonably believe to be false may be cancelled.
  5. Registration for an Event is not automatic registration for any future Event.

4. Fees, refunds and no-shows

  1. Where an Event is ticketed, the fee, inclusions and any booking fees are as stated on the Event listing. Fees are in Australian dollars and include GST unless stated otherwise.
  2. If you can't make it: get in touch as early as you can. We'll usually transfer your place to a colleague, and we'll consider a refund case by case. We commit to venue and catering numbers in advance, so the closer to the Event you tell us, the less we can do. We don't refund no-shows.
  3. Nothing in this clause limits your rights under the Australian Consumer Law (see clause 15), or the refunds we give under clause 5 where we cancel or postpone an Event.

5. Changes, postponement and cancellation by us

  1. We may change the date, time, venue, format, speakers, agenda or content of an Event. We will give as much notice as we reasonably can.
  2. If we cancel a ticketed Event and do not offer a replacement date, we will refund your ticket fee in full, including any platform and processing fees you paid.
  3. If we postpone a ticketed Event, your ticket carries over to the new date. If you cannot attend the new date, you may request a full refund within 14 days of the new date being announced.
  4. We are not responsible for any other costs you incur in connection with an Event, including travel, accommodation, parking, time off work or lost income.

6. Entry, age and venue rules

  1. Events held at licensed venues are restricted to persons aged 18 and over. Photo ID may be required.
  2. While at a Venue you must comply with the Venue's rules, directions, dress code, capacity limits, and health and safety requirements. Venue staff have authority over their premises at all times.
  3. We may refuse entry to, or remove, any person who breaches these terms, the Venue's rules, or our Code of Conduct.
  4. Entry may be refused if you arrive after the Event has started, if the Venue is at capacity, or if you are not on the registration list.

7. Code of Conduct

BTT events are professional, peer-level gatherings. Everyone is entitled to participate without harassment or intimidation.

Expected: treat others with respect; be considerate in discussion and disagreement; respect people's boundaries, time and attention.

Not acceptable: harassment or discrimination of any kind, including on the basis of sex, gender, sexual orientation, disability, appearance, race, ethnicity, age, religion or any other attribute; unwelcome sexual attention or physical contact; sustained disruption of talks or conversations; intimidation, stalking or following; abusive, threatening or demeaning language; recording or photographing someone who has asked you not to; aggressive or deceptive sales behaviour.

Enforcement: we may, at our sole discretion and without refund, warn you, ask you to leave, remove you from the Event, exclude you from future Events, and remove you from associated community spaces. Where conduct may be unlawful, we may involve the Venue's staff or the police.

Reporting: raise concerns with any BTT organiser at the Event, or contact us at theroutetable@beyondtheterminal.tech. We will treat reports discreetly, though we cannot guarantee confidentiality where we are required to act or to disclose.

8. Alcohol and intoxication

  1. Where alcohol is served, it is served by the Venue under its liquor licence and subject to responsible service of alcohol obligations. Venue staff may refuse service.
  2. You are responsible for your own consumption and for getting yourself home safely.
  3. We may refuse entry to, or remove, anyone who is intoxicated or whose behaviour is affected by alcohol or any other substance.
  4. Illegal drugs are not permitted at any Event.

9. Your safety and your own risk

  1. You attend Events at your own risk. BTT events involve ordinary social and venue-related risks, including moving between venues, crowded spaces, stairs, food and drink, and the conduct of other people.
  2. You are responsible for assessing whether attendance is suitable for you, including in relation to any medical condition, allergy, dietary requirement or accessibility need. Tell us in advance at theroutetable@beyondtheterminal.tech about anything we should know, and we will pass relevant requirements to the Venue where we can — but we cannot guarantee that any specific requirement will be met.
  3. Catering is prepared by the Venue or a third-party caterer. We do not prepare food and cannot verify ingredients, allergens or preparation practices. If you have a serious allergy, speak directly to Venue staff.
  4. You must follow any safety or emergency instructions given by BTT organisers or Venue staff.

10. Your property

You are responsible for your own belongings. We are not responsible for loss of, or damage to, personal property brought to an Event, including at cloakrooms or unattended areas.

11. Photography, filming and recording

  1. Events are photographed and may be filmed or recorded for promotional, community and reporting purposes, including by BTT, Sponsors and media.
  2. By attending, you agree that we may capture your image, likeness and voice, and that we may use, edit and publish that material — including on our website, social channels, newsletter and sponsor reporting — without payment and without further approval.
  3. Opt-out: if you do not want to appear in published material, tell an organiser when you arrive and we will note it and take reasonable steps to avoid including you, or to remove you from material we control. We cannot control material published by other Attendees, Sponsors or the Venue.
  4. If you want an image of you removed after publication, email theroutetable@beyondtheterminal.tech and we will remove it from material we control within a reasonable time.
  5. Attendees recording others: do not photograph, film or record another person at an Event if they have asked you not to. Do not publish recordings of talks or discussions without the speaker's consent.

12. Discussion, content and confidentiality

  1. Content presented at Events — talks, panels, demos and discussion — is general in nature and for information and professional development only. It is not professional, technical, legal, financial or security advice, and should not be relied on as such. Get your own advice before acting on anything discussed.
  2. Views expressed by speakers, Sponsors and Attendees are their own and are not the views of BTT, or of their or our employers.
  3. Attendees often speak candidly about their workplaces. Unless a session is expressly on the record, treat what is said as not for attribution: you may use what you learn, but do not publish or repeat it in a way that identifies the speaker or their employer without their permission.
  4. You are responsible for making sure anything you say at an Event does not breach confidentiality obligations you owe to your own employer or clients.

13. Sponsors and third parties

  1. Sponsors may present, exhibit, provide materials or speak at Events. Sponsorship does not mean BTT endorses, recommends or has verified a Sponsor's products, services or claims.
  2. Any dealings you have with a Sponsor — including any purchase, trial, demo or later engagement — are between you and that Sponsor. We are not a party to them and are not responsible for them.
  3. We are not responsible for the acts or omissions of Venues, caterers, Sponsors, speakers or other Attendees.
  4. Where a Sponsor is the contracting party with a Venue, our role may be limited to organising, promoting and hosting the Event. This does not make us responsible for the Venue or for the Sponsor's obligations.

14. Privacy and your data

  1. We collect your registration details (such as name, email, role and employer) to run the Event, manage numbers and communicate with you about it.
  2. We use a third-party ticketing platform and may use email and community platforms. Your data is handled under those providers' terms as well as ours.
  3. Sponsors: we do not share your contact details with Sponsors by default. Where sharing forms part of the arrangement for a particular Event, the Event listing will say so, name the Sponsor, and ask you at registration whether you are happy for your details to be shared. Your details are passed on only if you agree, and your answer makes no difference to your place at the Event. Sponsors must include an unsubscribe option in any marketing they send you, and their own privacy terms apply to what they do with your details.
  4. We may share information about Attendees with Sponsors for any Event, such as attendee numbers, job-title mix, and Attendees' names and companies. We do not share contact details, such as email addresses or phone numbers, except as set out in clause 14.3. If you would like to be introduced to a Sponsor, tell an organiser and we will make the introduction.
  5. If you scan a badge, hand over a card, or enter a Sponsor's competition or sign-up, you are giving that Sponsor your details directly and their privacy terms apply.
  6. We may add you to our mailing list for future Event announcements. Every email includes an unsubscribe link.
  7. To access, correct or delete the information we hold about you, email theroutetable@beyondtheterminal.tech.

15. Liability

  1. Nothing in these terms excludes, restricts or modifies any right or remedy you have under the Australian Consumer Law or any other law that cannot lawfully be excluded.
  2. Subject to clause 15.1, and to the maximum extent permitted by law:
    1. we exclude all warranties, representations and conditions not expressly set out in these terms;
    2. we are not liable for any indirect, special or consequential loss, or for loss of profit, revenue, opportunity, data or reputation, arising out of or in connection with an Event; and
    3. our total liability to you in connection with an Event is limited to resupplying the Event or a comparable event, or refunding the amount you paid for your ticket (if any).
  3. To the extent we are liable under a non-excludable consumer guarantee for services, our liability is limited (where the law allows) to resupplying the services or paying the cost of having them resupplied.

16. Your responsibility and indemnity

You are responsible for your own acts and omissions at an Event. You indemnify us against any claim, loss, damage, cost or liability we suffer arising from:

  • your breach of these terms, the Code of Conduct or a Venue's rules;
  • damage you cause to a Venue, its property, or another person's property; or
  • any injury or loss you cause to another person through your own negligent or deliberate conduct.

We recommend you hold your own insurance appropriate to your circumstances. We do not insure Attendees.

17. Intellectual property

  1. "Beyond the Terminal", "The Route Table" and our logos and branding are our property. You may not use them without our written permission, including to imply endorsement, partnership or affiliation.
  2. Materials presented at an Event remain the property of the presenter or their organisation. Slides and materials are shared for your own use only and may not be redistributed or republished without permission.
  3. If you post about an Event on social media (which we encourage), please credit the Event and respect clauses 11 and 12.

18. Circumstances beyond our control

We are not liable for failing to run an Event, or for delay or change, where this is caused by something beyond our reasonable control — including venue closure, extreme weather, fire, flood, power or transport failure, illness of key people, public health orders, strikes, or acts of government. In those circumstances clause 5 applies.

19. Community spaces

Where an Event is linked to an online community space (such as Slack or Discord), the Code of Conduct in clause 7 applies there too. We may remove members who breach it. Those platforms are third-party services and we are not responsible for their availability, security or terms.

20. General

  1. Changes: we may update these terms. The version published on the Event listing at the time you register applies to that Event.
  2. Severability: if any clause is found unenforceable, it is severed and the rest continue to apply.
  3. Whole agreement: these terms, plus the Event listing, are the whole agreement between us about the Event.
  4. Governing law: these terms are governed by the laws of New South Wales, Australia, and you submit to the non-exclusive jurisdiction of the courts of that state.
